AI tools such as Copilot or ChatGPT therefore do not reach these employees directly at all. However, this does not mean that there is no potential \u2013 it simply shifts to a smaller, clearly defined area.  <\/p><h2 class=\"wp-block-heading\">Where the potential really lies: the back office<\/h2><ul class=\"wp-block-list\"><li style=\"list-style-type: none\"> <\/li><\/ul><ul class=\"wp-block-list\"><li style=\"list-style-type: none\"><ul class=\"wp-block-list\"><li><strong>Specifications and quotations:<\/strong> Creation and adaptation of specifications and quotations based on existing templates, significantly faster than manual text editing.<\/li><\/ul><\/li><\/ul><ul class=\"wp-block-list\"><li style=\"list-style-type: none\"><ul class=\"wp-block-list\"><li><strong>Shift handover summaries: <\/strong>Turn bullet-point notes or voice memos into structured, readable handover reports for the office.<\/li><\/ul><\/li><\/ul><ul class=\"wp-block-list\"><li style=\"list-style-type: none\"><ul class=\"wp-block-list\"><li><strong>Multilingual work instructions:<\/strong> Translating operating instructions and safety guidelines quickly and clearly into several languages \u2013 essential for teams with members from different countries.<\/li><\/ul><\/li><\/ul><ul class=\"wp-block-list\"><li style=\"list-style-type: none\"><ul class=\"wp-block-list\"><li><strong>Correspondence with clients:<\/strong> status reports, responses to complaints and draft contract amendments, which just need to be checked in the office.<\/li><\/ul><\/li><\/ul><h2 class=\"wp-block-heading\">The biggest sticking point: SLA documentation across numerous properties<\/h2><p>FM service providers often manage dozens or even hundreds of properties simultaneously \u2013 each with its own contractually agreed service level agreements: response times, quality targets, reporting intervals. At the end of each reporting period, these key figures must be collated into a consistent, comprehensible report for the client \u2013 data that is scattered across CAFM tickets, checklists from different sites, email correspondence and, in some cases, handwritten on-site records. <\/p><p><strong>In practice<\/strong>, this consolidation is often carried out manually, shortly before the reporting deadline, under considerable time pressure \u2013 and is highly prone to errors. In the worst-case scenario, late or incomplete supporting documentation may even result in contractual penalties, and clients lose confidence in the reliability of the reporting. <\/p><p><strong>This is precisely where AI can help<\/strong>, without replacing the CAFM system: the raw data \u2013 tickets, response times, checklist results \u2013 continues to be recorded in the existing system. An AI assistant then takes care of the subsequent consolidation: the exported raw data is transformed into a structured, clearly worded report featuring a deviation analysis, including an easy-to-understand explanation of why a key performance indicator deviates from the target figure. The back-office team reviews and adds technical details, rather than having to draft reports from scratch themselves.  <\/p><p><strong>The result:<\/strong> faster, more consistent reports, fewer errors under time pressure \u2013 and a client who receives timely and transparent information, rather than having to request rework.<\/p><h2 class=\"wp-block-heading\">Why honesty is more important than reach<\/h2><p>Unlike in many other sectors of the property industry, AI expertise among FM service providers initially affects only a portion of the workforce: back-office staff, those in procurement and administration. Frontline staff on site require different, mobile-first solutions \u2013 this is a separate issue that cannot be resolved with traditional Copilot training. Anyone who conflates the two is promising more than can be delivered in the short term.  <\/p><h2 class=\"wp-block-heading\">EU AI Act: Regulation as an opportunity<\/h2><p>Article 4 of the EU AI Act requires organisations that use AI to <strong>take measures to promote AI literacy amongst their staff.<\/strong> <\/p><p><strong>In practical terms, for FM service providers<\/strong>, this means that the most sensible starting point remains <strong>the back-office team that actually works with AI systems<\/strong> \u2013 training for the entire workforce is not legally required and would not be relevant for most staff members anyway.<\/p><p><strong>The opportunity for FM service providers:<\/strong><br \/>The entire sector is under cost pressure, and it has been proven that, <strong>without digitalisation and the use of AI, it is virtually impossible to remain competitive and operate on a break-even basis.<\/strong><\/p><p>Start with your back-office team and <strong>ensure, through training, that AI tools are used efficiently and responsibly<\/strong>.
