AI for facility management service providers: Where your back office stands to benefit straight away – and where, to be honest, it doesn’t yet

Facility management service providers are a special case in the property sector’s AI debate: their core operational business is managed via CAFM systems, and a large proportion of the workforce – cleaning, maintenance and security staff – often do not have their own Microsoft 365 account at all. AI tools such as Copilot or ChatGPT therefore do not reach these employees directly at all. However, this does not mean that there is no potential – it simply shifts to a smaller, clearly defined area.

Where the potential really lies: the back office

Why honesty is more important than reach

Unlike in many other sectors of the property industry, AI expertise among FM service providers initially affects only a portion of the workforce: back-office staff, those in procurement and administration. Frontline staff on site require different, mobile-first solutions – this is a separate issue that cannot be resolved with traditional Copilot training. Anyone who conflates the two is promising more than can be delivered in the short term.

EU AI Act: Competence requirements where the technology is actually used

Article 4 of the EU AI Act requires AI competence from staff who actually work with AI systems – for FM service providers, this can realistically be limited to the back office, rather than imposing training on the entire workforce, which is not relevant to most of them. Nevertheless, an AI audit remains worthwhile: to identify where within the company – including outside the back office, for example in planning or customer service – AI systems are already in use, and which of these could become subject to regulatory requirements.
